M a n a g i n g I m a i l Imail is a software installed on the Email server to help you manage your account settings directly on the server. It also has Webmail capabilities to be used when you are away from your computer to check new mail and send mail. Please note Imail is not intended nor is it recommended that it is used in place of local email clients (program) such as Outlook Express, MS outlook, etc. visit Email Setup Below are list common features and procedures to manage Imail. If you have Internal network or if you prefer not to deal with such setup we suggest you contact the IT person that manages your network / maintain your PC To access Imail as a main administrator 1- go to: http://webmail.link2city.com 2- User: email address (issued to you by Administrator) 3- Password: Issued to you by Administrator (you could change it after you login- from Administrative Account Options drop-down) Additional information about all IMAIL features can be received from the help tab. If you are on a maintenance program with us- please contact us so we may walk you thru the process - either to fix the issue or make recommendation. ---------------------------------------------------------------------------------------------------------------------------------------------------------------- A d d U s e r: From Administrative Account Options (drop-down), select User Administration. Click Add, enter the new user account information, and click Save. User ID. This is the User ID for the mail account. The User ID must be unique within the system. It can be from 3 to 30 letters and numbers and cannot contain spaces. You can use the hyphen, underscore, and period characters in the User ID. The last hyphen is a User ID is used to delimit a mailbox name. For example, if mail is sent to the address mr-fred-account@ipswitch.com, IMail Server reads account as a mailbox that belongs to mr-fred. Enter the user's First and Last Name. Password. In the Password box, enter a Password and confirm it. The password must be between 4 and 15 characters. Each user could change their password after they login thru Imail with their own account from Personal Account Options drop-down) Max Mailbox Size. This is the maximum size allowed for the total of all mailboxes in the users mail account. If new mail would cause the total size to exceed this maximum, the mail is returned to the sender. Enter zero to use the host defaults; if the host default is also set to zero, the mailbox size is unlimited. Suggested size is 10 million (10000000). Max Num Messages. This is the total number of messages (for all mailboxes) allowed in the users mail account. If new mail would cause this maximum to be exceeded, the mail is returned to the sender. Enter zero to use the host defaults; if the host default is also set to zero, the mail box size is unlimited. Note that 1,000,000 is a small mailbox size Set any of the following user attributes: User cannot change password. Select this option to prevent the user from changing their password remotely. Account access disabled. Select this option to prohibit the user from accessing the account remotely through POP3 or IMAP4. This option allows you disable the account without changing the user's password or removing them from the system. Hide from information services. Select this option to prevent the distribution of any information about this user through Finger, LDAP, or Whois if you have the Finger, LDAP, or Whois servers running. Host Administrator. Select this option if you want this user to add, modify, or delete users and aliases on their mail host by using IMail Remote Administration utility, the Web Remote Administration utility, or Web Messaging. To use the web utilities, Allow Web Access must also be selected. Allow Web Access. Select this option to allow this user to access their account via the Web Remote Administration utility (provided the utility is configured) and Web Messaging. List Administrator. Select this option if you want this user to add, modify, or delete list server mailing lists. User cannot modify LDAP attributes. Select this option to prohibit the user from modifying their LDAP attributes (name, address, organization, etc.). After completing form, select SAVE. Additional information about all IMAIL features can be received from the help tab. ---------------------------------------------------------------------------------------------------------------------------------------------------------------- F i l t e r i n g R u l e s This page displays both the Inbound and the Outbound Rules that have been created for the selected domain. You can view Inbound and Outbound rules by selecting either Inbound or Outbound from the Bound list box. The screen will automatically refresh and display the rules for the selection that you made. Name. The number of the rule in the processing order. You cannot name processing rules, they are identified only by their sequence in the list (i.e. Rule1, Rule 2). Field. The field that the rule searches in: Subject, To, From, Sender, Header or Body. Rule. Either Contains or Doesn't Contain. (eg. To filter all emails that contain the word sex, select the contain option) Value. The search string, or phrase that the rule searches for. This section displays all conditions for the rule. Send To. The name of the mailbox to which messages meeting the rule criteria will be sent. Working with Processing Rules To add a processing rule, click on Add and the Edit Inbound Rule page is displayed.. For more information on adding a processing rule, click the Help button on that page. Adding rule: Select desired field to be filtered ( FROM, TO, SENDER). Eg. To filter incoming e-mails the FROM field would be selected. Select whether the filtered e-mail will be evaluated on whether or not it will CONTAIN or NOT CONTAIN the filter phrase Enter word or phrase to be filtered Select Add condition Another phrase can be added to existing rules via the InsertAND and insert OR tabs. Select the existing rule and the desired option. This will add the ADD or OR term into the rule box. Complete the same steps to add the new phrase. To edit a processing rule, click on the pencil icon located next to the rule that you want to edit. To delete a processing rule, click on the trash icon located next to the rule that you want to delete. To delete all of the rules, click Delete All. To move a processing rule up in the list, click on the up arrow icon located next to the rule. To move a processing rule down in the list, click on the down arrow icon located next to the rule. Additional information about all IMAIL features can be received from the help tab. ---------------------------------------------------------------------------------------------------------------------------------------------------------------- A l i a s a d m i n i s t r a t i o n Alias administration allows the administrator to add, display, modify, or delete an alias. An Alias is another name for an e-mail address, a number of addresses, or an application. Do not create aliases that are identical to existing user IDs. Mail addressed to an alias that is identical to a user ID will go to the user account represented by the alias, not to the account represented by the user ID. Types of Aliases Group Alias. A group alias points to a file that contains a list of valid mail addresses. Standard Alias. A standard alias is a name that indicates a single user ID on the same system, up to four user ID's on the same system, a remote mail address, up to four remote mail addresses or any combination of these. To Display an Alias First, select the appropriate domain from the list box. To display an alias, choose an alias from the list, click Display. The Display of alias information page is displayed. This displays the Alias, Alias Type and the Destination for the specified alias. Modifying an Alias To modify an alias, choose an alias from the list, then click Modify. Edit the alias information and click Save. Deleting an Alias To delete an alias, choose an alias from the list, and click Delete.
