Email Basics: Email systems are not complex and in most cases issues are easily tracked- since they normally are associated with some of the basic process and route. For email to functions it follows this basic facts: Email Server (Link2CITY) issues: * Email server need to be up & running - use Test 1 * You must be using the right user name & password - use Test 2 * Your email box on the server need to have enough space to accept new email & none of the email on the server are either corrupted, contain viruses or over-sized message or attachment - use Test 3 Connection from your local PC to Email server (ISP or Internal Network) issues: * Be sure when your email client goes out to the web that it is connecting to the right email server- use Test 4 Your ISP is routing emails properly (ISP) issues: * Email doesn't come from the email server directly to your PC. It is handed off from one network to another (called loops) before it reaches its destination - use Test 5 Your emails client (program) set properly (PC/ Software) issues: *Check the settings (UserID, Password, POP3, SMTP and Authentication) in your local email client - use Test 6 Improper setting cached (saved) in the source file (PC/ Software) issues: *It is recommended to delete and install a fresh account in your email client to avoiding caching issues - use Test 6 *After you perform each TEST (outlined below) it is recommended that you close your email client and re-open then check your email. If you have Internal network or if you prefer not to deal with such errors we suggest you contact the IT person that manages your network / maintain your PC TEST 1 Check Email Server Log on Email Server directly thru the browser Imail: http://webmail.link2city.com Qmail: http://webmail.domainname If server doesn't pull up; Be sure you have internet connection by doing a search on any search engine and click on a site that you never visited before (avoiding pulling a site from cache files) If the site doesn't pull up either contact you ISP provider (i.e. Bellsouth, AOL, etc) or contact the IT person that manages your network / maintain your PC. If you have Internet connection- please contact us TEST 2 Check your login info Check you user name and password to be sure that the server recognize and authenticates the log in info. Imail: (user name = email address) Qmail: (user name = first part of the email address) If you contact Email Administrator if you are unable to login TEST 3 Check your mail box Delete old email if your box is full Delete oversized email and spam mail. This could stop the email from being delivered May block email server mail spool, or Your ISP may not allow such size email come thru their line- since it will be abuse of their bandwidth TEST 4 Check PC able to communicate with the email server Ping the server- will help determine that you PC is able to see the Email server. Click start on your PC (lower left corner of your screen) Click on Run Type: command (in the Open field) In the DOS black screen type: ping mail.domainname Hit Enter (on your key-board) You should get 4 replies from same IP- example:  *Imail: Reply from 207.97.199.118 (4 times) *Qmail:Reply from 69.20.124.219 (4 times) If no Reply, you have Internet connection and are able to pull up your website by the browser - then either contact your ISP (i.e. Bellsouth, AOL, etc) or contact the IT person that manages your network / maintain your PC. TEST 5 Check ISP route is passing the message properly Trace the route the email is taking from your PC traveling thru the ISP network. Click start on your PC (lower left corner of your screen) Click on Run Type: command (in the Open field) In the DOS black screen type: tracert mail.domainname Hit Enter (on your key-board) This test the email as it is being handed from your ISP to the different ISP networks (used by your ISP) when an email is sent out from your PC Be sure that non of the ISP networks times out. A time out means the email as it is being handed off is stopped at that network and not handed off to the next ISP. Thus emails will not work If time out- then either contact your ISP (i.e. Bellsouth, AOL, etc) or contact the IT person that manages your network / maintain your PC. TEST 6 Check your settings with in your email client (i.e. Outlook Express, MS Outlook, etc.) Be sure: User name is same as used when testing the login on server Imail: (user name = name&domainname) Qmail: (user name = first part of the email address) Password is same as used when testing the login on server POP & SMTP: mail.domain Some ISP may block port 25 thus disabling your ability to send out email using mail.domain. You will need to contact ISP to get what SMTP they want you to use. Usually this is an issue when you are able to receive but not send mail. In the advanced setting: Server Requires Authentication is checked TEST 7 Improper setting cached (saved) in the source file (PC/ Software) issues: You may need to delete the account in the email client and create a new one. *Usually this is needed when an Email client corrupts the settings and such setting are cached. *Close the program- After deleting the old account and before you create the account again. If the issue is not resolved We suggest you contact the IT person that manages your network / maintain your PC.
